1. Creating Your First Datasphere A Datasphere is your dedicated environment for collaboration and AI-driven insights. Step-by-Step Setup Initiate Creation: Click the + icon or the + Create Datasphere button located in the left sidebar. Name Your Space: Enter a clear, descriptive name for your Datasphere. Set Privacy Levels: Choose who can see and interact with your content: Public: Visible to everyone on the platform. Private: Restrict access to invited members only. Read-Only: Publicly visible, but only authorized members can contribute posts. 2. Defining Purpose & AI Behavior The foundation of a successful Datasphere lies in its "Purpose" and "System Instructions." These fields dictate how both humans and AI interact within the space. The Rich Text Editor (Purpose) Use the Rich Text editor to outline why this Datasphere exists. Pro Tip: Use descriptions, links, and images to engage your community. Note: The content in the "Purpose" section serves as the primary context window for AI services. Clearer descriptions lead to more relevant AI responses. System Instructions (Admin Only) These instructions are invisible to regular users and serve as the "guardrails" for the AI. Use this space to define: Tone: (e.g., "Be warm and inviting" or "Maintain a professional, data-driven tone"). Guardrails: Outline what the AI should protect against (e.g., "Filter off-topic or hateful speech"). Objectives: (e.g., "Help the community promote sustainable energy initiatives"). 3. Visual Identity & AI Branding Customizing your Datasphere makes it recognizable and professional. Managing General Settings Navigate to your Datasphere and click Settings from the actions drop-down in the top-nav breadcrumb. Ensure you are on the General tab. Uploading or Generating Icons Manual Upload: Upload an image directly. Pro Tip: For the best results, use 1x1 (square) dimensions . AI Generation: Let the system create an icon for you. Pro Tip: When prompting the AI, use a "light contrasting color background" instruction. Provide details on the subject, specific elements, and color palette. Example Prompt: "A minimalist 2D icon of a blue globe surrounded by digital nodes, white background, professional and clean style." 4. Managing Members & Roles Control who has access to your data and what actions they can perform. Inviting Users In Settings, navigate to the Invitations tab. Enter the email address of the user you wish to invite. Select their Role : Role Permissions Admin Full access to all settings, AI instructions, branding, and Knowledge Bank management. Moderator Can invite users and manage documentation, newsletters, and surveys. Participant Can participate in forum discussions; most other content is read-only. Obfuscated Restricted access. All PII (Personally Identifiable Information) in files and transcripts is hidden. Raw media and transcripts are inaccessible. 5. The Knowledge Bank: Powering Your AI The Knowledge Bank is the "brain" of your Datasphere. Content added here becomes universal context for all AI interactions. Adding Context In the General tab of Settings, scroll to the Knowledge Bank section: Media/Doc Uploads: Upload documents, videos, or audio files. Audio and video will be automatically transcribed and added to the AI's context. URL Linking: Link a website URL to pull its content into the AI’s memory. Media Library: Select previously uploaded content, transcriptions, or generated thematic analyses to serve as "sticky" context for future interactions. 6. Notification Management Stay informed without being overwhelmed. Navigate to the Notifications tab in Settings. Default Inheritence: All Dataspheres begin with a standard system configuration. Customization: Toggle the checkboxes to adjust which events trigger notifications and click Save . User Overrides: Note that individual users can choose to override these settings within their personal profile settings to suit their own workflow.
